Senior Administrative Assistant


This position will provide administrative support to the Director Global Product Development , IFCN and will support the US based Global PD and Analytical Sciences Innovation team and Evansville Technology Center team.  The position will be based in Evansville, Indiana, and will include a variety of diverse and complex administrative duties and responsibilities.  This position collaborates with employees and managers at all levels.  As such, the position requires a superb ability to handle confidential information while demonstrating considerable use of graciousness, diplomacy, discretion and sound judgment.  

Specific responsibilities will include:

    Support Global PD + Analytical Science + Evansville Technology Center teams, R&D IFCN, including, but are not limited to:
o    On-boarding and off-boarding of permanent and temporary employees  
o    Provide day-to-day administrative support operations of the function 
o    Perform various functions in internal systems such as SharePoint - content management, PDMS – procedural document management system, corporate e-Learning system administration for R&D,  ADP (timekeeper), and other web-based commercial and internally developed computer systems.
o    Arranging domestic and international travel, coordinate both on-site and offsite meetings/events, visa and passport submissions, processing expense reports, reconcile Master Card statements
o    Managing, updating, and routing Standard Operating Procedures and Work Instructions for R&D employees
o    Administer, organize, and maintain various operating records including Batch Record Folders, processing logs, calibrations, change control, CAPA, IQ/OQ/PQ, and training records.

Position Requirements:

    B.S. degree desired, High School Diploma required  
    Minimum of 5 years’ experience as an Administrative Assistant supporting senior level leadership required.  Experience supporting a senior executive in a publicly traded company is desired. 
    Excellent organizational, verbal and written communication skills with a strong attention to details are necessary 
    The ability to learn and become operational with new internal systems in a timely fashion
    Excellent people skills with the ability to work well with all levels of the organization 
    Experience communicating with leaders globally while being culturally sensitive     
    Exceptional ability to adjust to changing priorities, work and manage projects independently, ability to take initiative, be a problem solver, and function well as a team member  
    Strong technical skills including Word, Excel, PowerPoint, T&E, calendar, and e-mail
