About the role

We are seeking an experienced and highly organised Office Manager to join our New Zealand business and play a pivotal role in supporting our General Manager NZ, Leadership Team, and wider office operations.

 

This is a diverse and hands-on position that combines Executive Assistant support, office and facilities management, health and safety coordination, vendor management, and employee engagement activities. As the heartbeat of the NZ office, you will help create a productive, safe and positive workplace experience, while ensuring the smooth day-to-day running of our operations. This is a permanent part-time position, offering 25 hours per week, Monday to Friday.

 

The successful candidate will thrive in a fast-paced environment, demonstrate exceptional organisational skills, and take pride in delivering outstanding support across all levels of the business.

Your responsibilities

  • Provide high-level Executive Assistant support to the General Manager NZ, including diary management, meeting preparation and confidential correspondence. 
  • Coordinate internal and external meetings, leadership reviews, offsite events and regional engagements.
  • Organise domestic and international travel, accommodation and itineraries for executives and visiting stakeholders.
  • Act as the primary point of contact for office facilities, workplace services and building management.
  • Coordinate workplace health, safety and wellbeing activities, including compliance reporting, training and emergency preparedness initiatives.
  • Manage office operations, including visitor management, onboarding support, office supplies and workplace administration.
  • Oversee vendor relationships, purchase orders, company fleet administration and office-related operational expenditure.

The experience we're looking for

  • Proven experience as an Office Manager, Executive Assistant or Personal Assistant supporting senior leaders.
  • Demonstrated experience managing office operations, facilities and workplace administration.
  • Strong understanding of health and safety administration and workplace compliance activities.
  • Experience coordinating events, vendors and external service providers.
  • Advanced proficiency in Microsoft Office Suite, including Outlook, Word, Excel and PowerPoint.
  • Experience working with ERP or business systems such as SAP, Ariba, Concur, Siebel or similar platforms is advantageous.
  • Strong organisational skills with the ability to manage multiple priorities simultaneously.
  • High attention to detail and commitment to delivering quality outcomes.
  • Proven ability to manage confidential information with discretion and professionalism.
