Our team optimises the use of physical spaces, ensuring that we align with organisational goals. This can include defining and evolving our workplace strategy, managing office layouts, seating arrangements, meeting rooms and the associated services required to ensure the successful day-to-day operation of our facilities � including the physical assets such as furniture, equipment, and infrastructure.

About the role

The incumbent is the point of contact for all employees, providing administrative support and managing their queries. Main duties include managing office stock, preparing regular reports (e.g. expenses and office budgets) and organizing company records.

Your responsibilities

Supports effective and efficient deployment of Admin processes and practices within:

  • Facility Management
  • Follow up on the building Maintenance activities
  • Develop and create an archiving system to ensure a proper tracking for all office expenses
  • Managing office supplies stock and ensure availability
  • Manage the house keeping team
  • Act as main point of contacts with all travel & transportation agencies and manage the negotiations process to ensure getting the best service with the lowest cost
  • Develop the local travel policy and manage all business requests
  • Health & Safety
  • Budget tracking and reporting for all administration activities.
  • Develop creative ideas for employees Gifts (Ramadan box, Eid Box, …)

    HR Administration:
  • Follow up on the onboarding process for all new hires
  • Follow up on the employee trainings reports
  • Assist in the employee engagement activities to enhance the culture and raising employees’ morale
  • Budget Tracking and manage all HR reports

The experience we're looking for

  • Strong excel skills
  • MBA or equivalent degree is a strong asset
  • A track record of rolling out management development initiatives
  • Strong spoken and written communication skills.
  • Fluency in English
  • Flexible to travel, if required
