About the role

Responsible for overseeing General Affairs (GA) and HR administrative operations at the plant to ensure smooth daily operations and effective service delivery. The role interfaces with internal employees across departments to provide general affairs, logistics, and administrative support. Key responsibilities include developing, updating, and implementing relevant policies and procedures; managing facilities, vendors, and service providers in compliance with company policies and local regulations; and supporting employee relations and engagement initiatives. Additionally, the role drives cost control, operational efficiency, and continuous improvement while performing other duties as assigned by the Site Director and relevant departments.

Your responsibilities

  • Responsibilities encompass the general management of the Site director including the orderly scheduling of all business activities, arranging meetings and conferences, coordinating travel arrangements with the travel function, T&E reimbursement, assisting with confidential matters, and perform special projects as assigned. 
  • Screen all correspondence, bringing those of significance to the Site director attention. Respond to mail not requiring approval and review outgoing correspondence prepared by others for the Site director’s signature to ensure compliance with established policy, conflicts with previously statement and appropriate tone. When errors are found, the incumbent exercises discretion in returning materials to the originators for correction and/or rewriting personally.
  • Comply and help ensure compliance by others with all company policies and Code of Business Conduct.
  • Continuously increases productivity through development of systems for efficient general affairs works.
  • Provides coaching and feedback of communications for other support staff.  Drives support team to work in cohesion and direction to achieve team goals.
  • Create and review work instructions/ SOPs of general affairs jobs and subcontract workers management.
  • Prepare a variety of reports, presentation, gathering and summarizing data.
  • Reception all visitor / auditor visits including facilities and transportation as smooth. 
  • Manage and supervise all general affairs tasks. Services, administrative and coordinate activities to facilitate the smoothen running of Supply Chain function i.e. canteen, maids, laundry services, van and nurse services.
  • Coordinate with vendors to maintain document control to support external and internal audit. 
  • Maintain Meeting rooms / offices / public area. Keep a safe and clean by complying with procedure, rules, and regulation. Organize and maintain to ensure all function are ready to support productive activities. 
  • Oversee and lead employee relations program in the plant, to enhance employee engagement and ensure alignment with company policies. 
  • Trouble shoot emergencies. 

The experience we're looking for

  • At least Diploma in BA, Admin, Secretary or the relevant discipline or equivalent work experience.
  • At least 5 years of proven experience in administration in an international company or manufacturing.

The skills for success

  • Demonstrated ability to communicate in written and spoken English and Thai. 
  • Commitment to administrative and service minded. 
  • Good working knowledge of administrative procedures and ability to perform administrative tasks efficiently and in compliance with organization’ regulation.  
  • Computer literacy, Microsoft office, PDF, WORD, EXECL 
  • Flexibility and the ability to work well independently and as member of a team with close supervision.
  • Ability to multi- taking and be highly organized. 
  • Consistently approaches work with very positive and constructive attitude. 
  • Strong organization skills with a problem- solving attitude.
