Facilities & Workplace

This can include defining and evolving our workplace strategy, managing office layouts, seating arrangements, meeting rooms and the associated services required to ensure the successful day-to-day operation of our facilities – including the physical assets such as furniture, equipment, and infrastructure.
About the role
The Front Desk & Administrative Officer is responsible for providing a professional and welcoming experience for employees, visitors, and external partners while supporting the day-to-day administrative and workplace operations of the Kuala Lumpur office.
This role serves as the first point of contact for the office and plays a key role in ensuring smooth office operations, supporting Workplace & Facilities activities, managing vendor interactions, and coordinating administrative processes.
Your responsibilities
Front Desk & Visitor Management
- Serve as the primary point of contact for visitors, employees, and external stakeholders.
- Welcome and register visitors, ensuring compliance with security and access procedures.
- Manage meeting room bookings and visitor arrangements.
- Handle incoming phone calls and general inquiries in a professional manner.
- Maintain a clean, organized, and professional reception area.
Access Control & Security Support
- Create, print, issue, and maintain employee and visitor access cards.
- Support onboarding and offboarding activities related to office access.
- Coordinate with building management and security teams on access-related matters.
- Maintain accurate access records and reports.
- Building parking access/cards management
Mailroom & Logistics Coordination
- Receive, register, distribute, and dispatch incoming and outgoing mail, packages, and courier deliveries.
- Coordinate courier services and shipment tracking.
- Maintain records of deliveries and ensure timely distribution.
Administrative & Procurement Support
- Raise and manage Purchase Orders (POs) for Workplace, Facilities, and office-related services.
- Track invoices and support the payment process in coordination with Finance and vendors.
- Maintain records of contracts, quotations, and vendor documentation.
- Assist with office purchasing and inventory management, including pantry and office supplies.
- Manage the process of training grant applications with HRD Corp, including submission, tracking of approvals, and processing of related invoices.
- Coordinate the distribution of Fuell physical cards to employees and manage the processing and tracking of associated invoices.
Workplace & Facilities Support
- Support day-to-day office operations and employee workplace requests.
- Coordinate with service providers, building management, cleaning, security, and maintenance teams.
- Assist in office events, employee engagement activities, and workplace initiatives.
- Support reporting and administrative tasks related to Facilities and Workplace operations.
The experience we're looking for
- Relevant diploma or proven experience in administrative support, front desk operations, hospitality, office management, or related field.
- 1 year of experience in reception, office administration, customer service, hospitality, or facilities support roles.
- Experience in a multinational corporate environment is an advantage.
