This can include defining and evolving our workplace strategy, managing office layouts, seating arrangements, meeting rooms and the associated services required to ensure the successful day-to-day operation of our facilities including the physical assets such as furniture, equipment, and infrastructure.

About the role

The Project Finance & Workplace, Facilities and Real Estate (WFRE) Coordinator is responsible for managing all WFRE project finance and the day-to-day operations of the Minneapolis, MN office.

Your responsibilities

Project Finance Coordinator
•    SAP POs creation & goods receipting 
•    MDGS Vendor creation
•    Reviewing accuracy of invoices and challenging vendors where necessary  
•    Creating certificate of payment 
•    Ensuring vendors have Certificate of Insurance (COI)
•    Supporting project team/ finance lead with budget tracking & cashflow analysis 
•    Creating monthly budgetary reporting 

 

Minneapolis Workplace/Sales Office
•    Onsite receptionist 
•    Work with landlord to organize repairs and maintenance work 
•    Ensuring site is safe, clean and tidy, meeting global WFRE standards 
•    H&S site point of contact & lead 
•    Site security liaison, fire Marshall & MERT lead 
•    Ordering and stock snacks, coffee, water and cans 
•    Managing incoming/ outgoing mail
•    Manage department Finances by processing invoices, creating purchase orders, entering vendors, researching
•    Resolving all issues with vendor invoices/POs/MDGS, tracking payments and POs, assisting with monthly accruals and forecasting
•    Prepare monthly P-Card and T&E Reports for Facilities and Sales departments
•    Work with vendors to ensure we have an updated COI, track expiration dates and contact vendors prior to expiration for updated documents
•    Assist with coordination of clean-up days and communication of Reckitt’s Clean Desk Policy
•    Provide Administrative support to facilities and sales departments such as, conference room bookings, ordering catering, etc.
•    Coordinate department meetings/off sites/team building events
•    Order office supplies for the department
•    Assist with other administrative tasks as assigned

 

This role is not currently sponsoring visas or considering international movement at this time.

The experience we're looking for

  • Bachelor's degree preferred; High School diploma required. 
  • 4+ years of Office Services or Facilities experience
  • Proficiency in Microsoft Office products including strong Excel skills to create spreadsheets and tracking. 
  • Project management experience
  • Experience with SAP & Ariba systems preferred 
  • Finance experience preferred

US salary ranges

USD $71,000.00 -  $107,000.00

US pay transparency

The base salary range for this role will vary based on experience in job and industry, training and education, skills relevant to the position, and other factors permitted by law. In addition to the base salary, the position is eligible for an annual discretionary bonus, which is subject to change each year.
