Your responsibilities

Supply Coordination 

• Coordinate product availability for the pharmacy channel according to demand forecasts, market needs, and promotional activities. 
• Collaborate closely with the Demand Planning, Commercial, and Logistics teams to align supply with sales targets and distribution plans. 
• Monitor stock levels and coordinate replenishment to prevent shortages or overstock. 
• Support monthly and quarterly supply planning cycles and provide visibility on pharmacy-specific demand trends. 

Order Handling & Customer Service 

• Process and validate customer orders in accordance with agreed terms, product allocations, and compliance requirements. 
• Manage the full order-to-delivery process, including order entry, confirmation, issue resolution, and delivery follow-up. 
• Customer claims approval and processing, issuing of credit notes (price difference, damaged shipments, returns)
• Ensure accuracy of pricing, batch/lot traceability, and documentation. 
• Serve as the primary contact for order-related inquiries and delivery status updates.

Coordination with Internal & External Stakeholders

• Communicate proactively with Sales, Quality, Regulatory, and Finance teams to ensure seamless order fulfillment. 
• Coordinate with 3PL providers, distributors, and transport partners to secure on-time deliveries. 
• Support new product launches and phase-outs in the pharmacy channel. 
• Waste management reporting in CZ and SK

Reporting & Continuous Improvement 

• Prepare/comment regular reports on supply status, service level performance 
• Identify process bottlenecks and propose improvements in order management and supply coordination workflows. 

The experience we're looking for

• 2–4 years of experience in supply coordination, order management, or logistics — preferably in the pharmaceutical or healthcare sector. 
• Strong understanding of order-to-cash (O2C) and supply planning processes. 
• Proficiency in systems SAP and MS Excel. 
• Excellent communication and coordination skills. 
• High attention to detail, sense of urgency, and problem-solving mindset. 
• Knowledge of GDP and pharmaceutical distribution practices is an advantage.
• Detail-oriented and well-organized professional who ensures smooth product flow from planning to delivery.
• Strong analytical thinking with practical coordination skills to maintain product availability and high customer satisfaction 
• Work efficiently under time pressure, communicate clearly across teams
